Sourcing in China: What Does a Sourcing Agent Actually Do for You?

Overseas buyers don’t come to China empty-handed.

By the time they arrive, they’ve already contacted suppliers through email, WhatsApp, WeChat or other channels.

They have quotations. They have product photos. Some even have samples in hand.

But right before placing an order, most buyers still have a few questions:

Is this the right supplier?

Is this quotation reasonable?

Can the factory produce to my requirements?

Will the bulk order match the sample?

If I’m sourcing several categories, how should I plan the trip?

After I go home, who will follow up?

These are hard questions to answer through online communication alone.

That’s why, for buyers sourcing furniture, building materials, machinery or products for engineering projects, visiting factories in person is often a necessary step.

What a Sourcing Agent Actually Does

1. Pre-Screening Suppliers Before You Arrive

Overseas buyers usually have limited time in China — often just a few days, maybe a week.

If a project involves furniture, tiles, sanitary ware, kitchen cabinets and other products, searching for suppliers online can easily eat up most of that time.

And not every company you find online is the same kind of business.

Some are real factories. Some are trading companies. Product quality, style and colour consistency are also very hard to judge from a website.

So before arranging any visits, a sourcing agent helps you pre-screen:

  • Confirming whether it’s a real factory or a trading company
  • Checking the MOQ for the products you need (what’s listed online is often just a standard sales condition — it still needs to be discussed with the supplier)
  • Asking suppliers for catalogues so we can confirm their main product lines
  • Checking whether they have the relevant export certifications, especially for the European market
  • Assessing whether the supplier is actually worth visiting

This reduces wasted visits and keeps your limited time for suppliers that are genuinely worth talking to.

2. On-Site: More Than Just Translation

Many people think a sourcing agent is just someone who goes to the factory with you and translates.

Translation is part of the job, but real on-site communication is usually more complicated than that.

For example, I once went with a client to a factory to look at custom sofas. The client asked:

“Can this price be lower?”

The factory replied:

“This is already our lowest price.”

If I only translated that sentence, there wouldn’t be much value beyond interpretation.

So I checked with the supplier:

What quality of leather does this price include?

Are packaging and freight included?

What is the lead time?

I explained the relevant factors to the client so they could compare more clearly.

There are often details buyers don’t think to ask about, or don’t realise will affect the final order. Our job is to bring those up early — not to make decisions for the buyer, but to make sure the right questions get asked before anything moves forward.

3. If You Can’t Come to China: Factory Visits on Your Behalf

If an overseas buyer can’t come to China, most of what they know about a supplier comes from the supplier themselves:

The website.

The catalogue.

Product photos.

Company profile.

Quotation.

A local sourcing agent can go on-site instead and provide first-hand information.

Depending on the project, this may include looking at the production workshop, equipment, quality control, warehouse, packaging and shipping arrangements. Photos and videos can be provided when needed.

This doesn’t replace the buyer’s own judgement. But it gives them more to work with before making a decision.

4. Order Follow-Up After the Factory Visit

Some buyers worry before coming to China about “not finding the right factory.”

But once an order is confirmed, another part of the work starts.

Samples may need adjustment.

Specifications may need to be reconfirmed.

Production progress needs to be checked.

Factory issues need to be coordinated.

Finished goods need inspection before shipment.

Shipping needs to be arranged, along with packing lists, invoices, bills of lading and other customs documents.

For buyers who have already gone home, having someone in China who can keep talking to suppliers makes a real difference.
